Known for its personalized service, classic elegance, and tailor-made guest experiences, Opus XVI blends history, art, and modern comfort in a vibrant and exclusive setting. 

We are expanding our team and are looking for a structured and service-minded Booking Coordinator. At Opus XVI, we are passionate about delivering world-class experiences that leave our guests with unforgettable memories and a strong desire to return.

As Booking Coordinator, you will play a central role at the heart of the hotel, where the first interactions with our guests take place. In this position, you will manage the entire process for individual bookings, meetings, conferences, and events. You will tailor each event and ensure seamless execution from inquiry to completion.

You responsibilities will include:

  • Handling incoming inquiries via email and phone

  • Preparing offers for conferences, private events, accommodation, and activities

  • Following up and securing signed contracts

  • Registering all relevant information in the hotel’s systems

  • Maintaining contact with clients before, during, and after events

  • Leading and coordinating daily and weekly planning meetings

  • Ensuring all event details are updated in a timely manner

  • Daily contact with both Norwegian and international guests

  • Active sales and upselling

  • Collaborating closely with the front desk, restaurant, sales, and other departments

Who we are looking for: 

  • A strong communicator who enjoys building relationships – both in Norwegian and English, written and spoken

  • Structured, accurate, and detail-oriented, with the ability to prioritize under pressure

  • Solution-oriented, independent, and enthusiastic – with a positive energy that inspires both colleagues and guests

  • Comfortable taking initiative and encouraging best practices

  • Digitally proficient with a good understanding of systems

  • Experience in booking, front desk, or the travel industry is an advantage, but not a requirement – we provide thorough training
